Physics professor wins Felton Jenkins Jr. Hall of Fame Faculty Award Dr. Hasitha Mahabaduge, assistant professor of physics, was recently named the 2020 recipient of the University System of Georgia (USG) Board of Regents Felton Jenkins Jr. Hall of Fame Faculty Award—bestowed for “a strong commitment to teaching and student success.” CAMPUS ANNOUNCEMENTS All Announcements For Students For Faculty For Staff Protection of Minors On Campus Jan 31 2020 - 10:24am michelle.grove@gcsu.edu Georgia College must ensure that all programs enrolling non-GC student minors (children ages 17 and under) follow the campus’s policy and procedures concerning their protection. In the simplest of terms, if you have children who attend a Georgia College program and their parents, guardians, teachers, or coaches are not with the children, then your program is subject to this policy and must follow our written procedures. Georgia College has a Protection of Minors “one-stop” website that provides step-by-step guidance and complete details to assist all Georgia College supervisors and program administrators who offer programs for children: https://intranet.gcsu.edu/protection-minors Below are brief summaries of the requirements to ensure compliance with Georgia College’s procedures. Complete details and all resources are found at the “one-stop” website. Registering a Program Georgia College is required to have a list of all programs on campus that maintain custody of children. Before offering a program working with children, you must register your program at the Protection of Minors “one-stop” website and gain the necessary approval to move forward. Background Checks Programs are required to have all employees and volunteers who will have direct contact with children background checked through the GC Human Resources Office. Training for Staff and Volunteers All employees and volunteers with direct contact with children must be trained as a “mandated reporter” and must sign the approved “Code of Conduct.” Both the mandated reporter training and code of conduct are found on the Protection of Minors “one-stop” website. In addition to mandated reporter and code of conduct training, each supervisor or program administrator must train all employees and volunteers in program specific areas such as: job duties and expectations; dress code and appearance; safety and security protocols for your locations; child pick-up; accusations of misconduct by other children or staff; emergency procedures for illnesses or injuries; and other topics specific to your program. Training topics and resources are all found on the Protection of Minors “one-stop” website. Participant Forms Georgia College has approved forms that must be used when registering children into a program. These forms include a Registration Form, Waiver of Liability including a Photo and Media Release, Authorization of Child Pickup, Medical Information, Authorization to Administer Medication, Advisement of a Non-Licensed Program, and a Participant Code of Conduct. All approved forms and instructions are found at the Protection of Minors “one-stop” website. Planning All programs must be properly planned. A helpful Program Planning Checklist with step-by-step instructions ensuring compliance is found on the Protection of Minors “one-stop” website. Side note: All external groups who rent or use Georgia College facilities for programs involving children (Early College, HOBY, NCA Cheer Camp, etc.) must be registered. Rather than following our internal procedures for Georgia College programs that work with children, these external groups must sign and agree to the terms in an approved Facility Use Agreement, which details the outside group’s responsibilities as associated with protecting children in their custody. All external groups who rent or use GC facilities must sign this agreement found at the “one-stop” protection of minors on campus website or at the direct link: https://intranet.gcsu.edu/protection-minors/external-programs-operating-campus Summary Georgia College's policy and written procedures for the protection of minors were implemented to ensure compliance with the USG Policy. But, more importantly, our procedures were put in place to ensure the safety of our young visitors. You are responsible for following these procedures with your programs. Michelle Grove Coordinator for Minors on Campus michelle.grove@gcsu.edu 478-445-2762 HR Deadline TODAY for 02/23/20 Starts Jan 31 2020 - 10:23am amber.collins@gcsu.edu Today—Friday, January 31, 2020--is the deadline for offer letter submission to Human Resources for any staff or student bi-weekly new hire or rehire starting on February 23, 2020. Offer letter submission is the first step on the updated start date matrices for all new and rehires. All student and staff offer letters must be sent to HR for review and approval before extending them to the new hire or rehire. This helps ensure that we remain compliant with our many institutional, USG, state, and federal regulations. The next bi-weekly start date for eligible new hires and rehires will be March 8, 2019. There is a deadline within the matrix for document submission to HR. Please encourage your new hires and rehires to deliver their offer letter acceptance and ALL enclosures along with original I-9 identification documents to HR by this deadline (February 5, 2020) to ensure that there will be no immediate delay in start date of 03/08/20. All documents should be submitted together; a complete new hire/rehire packet makes for a smoother onboarding experience. Offer Letter Templates: The offer letter templates for students and staff were updated July 3, 2019 and are available on the intranet for review; this includes the Faculty & Staff Forms section of the Intranet and the HR Intranet, specifically the Employment Services section. Please discard any old saved templates and use the current documents online. The HR Intranet can be accessed by following the steps below: 1) Login to Unify 2) Click on Service Apps, then scroll down and click on Human Resources . 3) Toward the middle of the screen on the right side, there's a gray menu box--click on Employment Services . 4) Click the blue box that says Employment Services Intranet Site . 5) From the menu on the left side, click on Onboarding Employees . 6) Select your Employment Type (Regular Staff, Temp Staff, Students, Graduate Assistants, etc.) Start Date Matrices & Clearances for Start Dates: I’d like to extend a reminder of the Start Date Matrices we have in place for our monthly & bi-weekly paid staff and students. These matrices are in place in order to allow for adequate processing of new hire/rehire paperwork, and to ensure that your new/returning employees have all access they need on the day they are scheduled to report to work.
